Final participation is subject to the approved management-system record, event-specific instructions and any written agreement. The detailed terms should cover agreed benefits, brand use, payment or in-kind support, approvals, cancellation, publicity, conduct and any exclusivity that has been expressly agreed.

Applicants must provide accurate information, tell the organisers about material changes, follow lawful safety instructions and respect the event’s equality, safeguarding and community standards. Where a management system is used, applications and acceptance records remain controlled there rather than being duplicated in WordPress.
